Privacy Policy

This policy explains what information is collected through this website and during the inquiry process, why it is needed, and the choices available to you.

1. Who is responsible for your information

Viviane Melo operates an independent online RTT®, hypnotherapy, and Systemic Therapy practice. Privacy questions may be sent to viviane@vivianemelotherapy.com.

2. Information collected

This website does not currently ask you to submit health information through a public website form. If you email or schedule a clarity call, information may include your name, contact details, time zone, appointment information, and anything you voluntarily include in your message.

If you later become a client, a separate secure intake and consent process may collect information needed to assess suitability and provide services, such as age, current location, emergency contact, health history, medications, goals, and session-related information.

3. How information is used

  • To respond to inquiries and schedule sessions.
  • To determine whether services are appropriate and safe.
  • To provide agreed services and maintain professional records.
  • To process payments and meet legal, insurance, accounting, and safeguarding responsibilities.
  • To protect the rights, safety, and integrity of clients and the practice.

4. Scheduling, email, and external services

Scheduling is currently provided through Calendly. Email is provided through a professional email service. Links to Instagram and other external websites are governed by those providers’ privacy practices. Payment and secure intake providers will be identified before those services are activated.

5. Confidentiality and limited disclosure

Personal information is not sold. Information may be disclosed when you authorize it; when needed for confidential professional supervision with identifying details minimized; to service providers supporting the practice; when required by law, court order, or insurance obligations; or when there is a serious concern about immediate risk of harm, abuse, or safeguarding.

6. Storage and retention

Client records will be stored using password-protected devices and/or a secure professional platform with access limited to the practitioner. Records will be retained only as long as reasonably necessary under applicable law, professional obligations, and insurance requirements, and then securely deleted or destroyed.

7. International clients

Online services may involve information being processed in the United States even when you are located elsewhere. Additional privacy rights or restrictions may apply where you live. Services will be offered only when reasonably consistent with applicable professional, insurance, and legal requirements.

8. Your choices

You may request access to or correction of your information and may ask for deletion where retention is not legally or professionally required. You may also withdraw optional consent for future communications. Contact the email above to make a request.
